Campus Photography and Videography Guidelines

In General

Staff, students, affiliates, tenants, and permitted external guests/clients are allowed to take photos and videos on campus as part of their allowed activities, subject to University guidelines.
Any office or individual planning to conduct any photography or videography outside their normal activities or for special purposes should get approval from the University, through the University Marketing and Communications Office (UMCO), at least 48 hours prior.
Special guidelines apply to external media/news organizations.
Use of drones on campus should be approved by UMCO and the Campus Safety and Mobility Office (CSMO).

Scope

These guidelines cover photography and videography activities in Ateneo de Manila campuses for use in onsite activities, events, class requirements, publications, websites, monetized social media channels, TV shows, AVPs, institutional promotional materials, and similar content.

 


Note on Social/Personal Photography/Videography

Individuals participating in social and personal activities within Ateneo campuses (during masses, office parties, org gatherings/ meetings, in class, sporting events, talks, campus tours, personal visits, graduation season, alumni homecoming, etc.) are allowed and encouraged to take photos and/or short videos.

However, the photos/videos taken should only be for personal use (e.g. posting on personal social accounts) and not for any activity that involves monetization (e.g. ads) or to imply any endorsement by Ateneo de Manila or its entities. Otherwise, the guidelines on this page apply. If in doubt, contact UMCO.


 

 

Who and what are allowed

All photography and videography requests are reviewed on a case-by-case basis and are based on these classifications. For questions, clarifications, or inquiries, contact UMCO.

Permitted Photography/Videography Activities

The following are allowed to shoot photos and videos on Ateneo campuses.

As part of regular University activities or tasks
  • University entities (offices, schools, academic departments, centers, hubs, etc.), employees, academics, researchers, and contractors as part of their tasks (e.g. teaching and formation, research, outreach, marketing and communications materials)
  • Official activities held inside the University (e.g. academic conferences, seminars, workshops, meetings, ceremonies)
    • Special guidelines/reminders are issued for special or large events such as graduation
  • Academics and researchers doing academic/research work within the campus, and are officially connected to/recognized/supported by an Ateneo office (includes Ateneo student researchers doing thesis/dissertation work)
  • Officially enrolled students in connection with their academic activities
    • Photography and videography conducted during regular class hours within the regular class venue (e.g. classroom, laboratory, in-class fieldwork, or Communication studio) need no permission.
    • If the shoot is outside of regular class hours or for special projects, permission should be sought.
    • Professors are asked to coordinate with UMCO if they will be requiring classes to conduct special shoots, for faster approvals.
  • Student organizations and athletics teams in connection with University-recognized activities (e.g. competitions, ceremonies, org meetings/documentation, OrSem, creation of promotional materials for org activities)
    • Photography and videography by student journalists (those recognized under RA7079, or the Campus Journalism Act of 1991) need no permit, as long as the activities are part of campus publications’ regular news coverage activities, and the campus journalists’ media IDs are clearly visible and presented to school or security authorities when asked to. Special or planned shoots, however, might need a permit, depending on the context (i.e. use of facilities/special equipment, size/scope of shoot).

Photography and videography by these entities/individuals do not need permits unless using a drone, for special shoots (e.g. AVPs, yearbook/org photo shoots, class/org projects, special events), and/or an external supplier is involved. For any questions or clarifications, please contact UMCO.

External stakeholders, affiliates, tenants, media
  • Recognized alumni organizations, in connection with alumni-related activities (homecoming, donations, other alumni activities)
  • Institutional partners in connection with official activities involving the University, its offices, or its personnel or students (i.e. project videos for funding agencies)
  • News organizations during permitted news coverages within the campus (i.e. public events, pre-scheduled interviews, events at University venues, etc)
  • External service providers contracted by University offices or student organizations
  • Affiliates, auxiliary units, and tenants based inside Ateneo campuses for events, outdoor shoots, or shoots inside Ateneo-owned venues (e.g. Gesu)
    • Photography and videography by affiliates inside their offices/premises do not need permits unless an external service provider is involved.
  • External entities that rent or use Ateneo facilities (e.g. Gesu, Blue Eagle Gym, Irwin Theater, Hyundai Hall), or facilities of affiliates/tenants, for permitted events
    • Any content generated must not be used to promote or imply any affiliation to or endorsement by Ateneo or its entities

Photography and videography by these entities/individuals must apply for permission. For any questions or clarifications, please contact UMCO.

Any activity involving external media organizations or service providers should abide by the Guidelines for External Media in Ateneo Campuses and Events.

Photography/Videography Activities Not Permitted

These shoots are currently not allowed.

  • Shoots for commercial use (e.g. commercial films, TV shows, advertisements, monetized online content such as vlogs, etc.) with no relation or relevance to Ateneo de Manila and its primary activities (education, research, outreach)
  • Personal staged shoots (e.g. pre-nuptial shoots)
  • Other activities that the University does not deem related to its core activities

Guidelines

Applying for Permission to Shoot

Requests for permission to conduct photo/video shoots must be submitted at least 48 hours before the intended date of the shoot. Ideally, requests should be put in at least 5 weekdays before.

Email the following offices with the subject line “[On-Campus Shoot Request] <Office/person name/activity>, <Date/s of shoot>”:

  • Campus Safety and Mobility Office: csmo [at] ateneo.edu
  • University Marketing and Communications Office: umco [at] ateneo.edu
  • Email/s of endorsing office/administrator/faculty
  • Email/s of location owner/s (if needed)

Provide the following details in the request:

  • Detailed purpose of the shoot
  • Exact date/s, times/s, and locations of the shoot (for shoots such as AVPs or class film projects, a detailed shooting schedule is helpful)
  • List of personnel involved (including roles of each person)
  • List of filming equipment to be used (if using a drone, please see additional requirements below)
  • Endorsement from the supervising office/administrator/faculty
    • If for a class requirement/project, an endorsement from the faculty member teaching the class
    • For a student activity, from the org moderator and/or the Office of Student Activities of the unit concerned
    • If for an activity by an office, the department chair or unit head (can be via a reply to the email thread)
  • Endorsement/s from office/s in charge of the location/s where the shoot will be held, if applicable, or proof of venue reservation

CSMO and/or UMCO will loop in additional offices concerned, as needed.

Using Drones

When using drones:

  • In a separate email, inform CSMO and the Campus Security Detachment, cc UMCO, with the subject line "[Drone Use Request] <Office/person name/activity>, <Date of use>"
    • Campus Security Detachment: csd.fmo [at] ateneo.edu
  • CSMO shall provide the Drone Registration Form.
  • The requestor fills out the form and sends it back to the email thread for approval, along with the following:
    • Photos of the 4 sides, top view, and serial number of the drone
    • Specific details (date, time, location) when the drone will be used
  • It is requested that the request to use a drone will be submitted as early as possible. The 48-hour rule applies.
  • Note that approved drone requests might be rescinded due to weather conditions.

UMCO and CSMO will review the request and may ask the requesting party to provide more information.

You will receive an approval/rejection notice only if the request falls within the allowed activities, and once all necessary information and documentation has been provided. UMCO sends the shooting guidelines to the requesting party.

The Campus Security Detachment will also be informed of the shoots once approved.

During the Shoot

If necessary, the organizing office processes Campus Access Requests at least 24 hours prior to the shoot.

All approved photo and video shoots conducted inside the campus are expected to comply with the guidelines provided below:

  • Do not take shots of Ateneo branding and other identifiable building logos/signages.
  • Do not take shots of random people in compliance with data privacy guidelines.
  • Keep passageways and driveways open and free from any obstruction at all times.
  • Only battery-equipped/operated cameras and other equipment are allowed to be used.
  • Video/photo material obtained should not be used for commercial purposes.

After the Shoot

Copies of video/photo material obtained by Ateneo entities/individuals should be turned over to UMCO (attn Ms Pau Percil) for University use. It is preferred that the office/person provides UMCO with the files via a thumb drive or through a cloud download link (ex. wetransfer).

Video/photo obtained by news media and external entities that rent venues inside campus might not need to turn over video; consult with UMCO for more information.
