About the Program

The Diploma Program for Registrars is an 18-unit diploma program designed to prepare participants for a position in the office of the School Registrar. The participants are taught organizational fundamentals, policies, procedures, duties, and responsibilities related to the Registrar’s position. It is hoped that the participants would gain the competences to carry out this key administrative role in their educational institution.

Program Learning Outcomes

Upon successful completion of the Diploma in Registrarship program, participants will be able
to:

  1. Produce effective communication in oral, written, and digital formats tailored to diverse academic and administrative audiences.
  2. Administer academic records and databases securely in compliance with institutional policies and legal standards.
  3. Implement foundational principles and practices of registrarship to enhance academic administration and student services.
  4. Design information systems and business processes to improve registrar functions using systems analysis and business process reengineering techniques.
  5. Interpret education laws and regulations relevant to academic administration and student records management.
  6. Deliver exceptional customer and frontline services to enhance stakeholder satisfaction in an academic environment.
  7. Exemplify professionalism, ethical judgment, and confidentiality in handling sensitive academic and student information.

Mode of Delivery

Each 3-unit course is online and includes only three full-day onsite sessions per semester through our Learning Collaboratories (LCs). For the Diploma in Registrarship, the LCs are held scheduled on three Saturdays. These are complemented by online synchronous sessions and asynchronous activities in Canvas, the official learning management system of the School. 

Admission Requirements

To be admitted to this Diploma Program, the applicant should have a baccalaureate degree and at least one year of work experience in an educational institution.

Categories to Earn the Diploma in Registrarship

Category A – For Audit
Participants need to apply for admission to GBSEALD as Auditors. They are expected to meet the minimum attendance requirement for onsite and synchronous online sessions, as well as to fulfill one requirement for each course. Courses enrolled on Audit basis will not receive grades at the end of a semester or term. Successful participants in this category will be awarded a
Certificate of Participation after successfully completing each course. The participants will be awarded the Diploma in Registrarship by GBSEALD after successful completion of all the six courses.


Category B – For Credit (Non-degree)
Participants need to apply for admission to GBSEALD as a Non-degree student. They are expected to meet the attendance requirement for onsite and synchronous online sessions, as well as to fulfill all course requirements. They will receive a grade based on the Ateneo grading system. Successful participants in this category will be awarded a Certificate of Participation
after successfully completing each course. The participants will be awarded the Diploma in Registrarship by GBSEALD after successful completion of all the six courses. They may request for an official Transcript of Records or an official Certification of Grades from the Office of the University Registrar of the Ateneo de Manila University.

Application Process

Interested applicants to the Diploma in Registrarship Program must apply as an auditor or a non-degree student. Non-degree graduate students at the Ateneo de Manila University Higher Education are those who take graduate courses but do not work toward any graduate degree program. Auditors are students who are admitted to take courses on a non-credit basis.

Course Descriptions

EDUC 222.2 EDUCATION LAW (3 units) 

This is a course on the important laws and structures implemented by the government and their effect on the operations of the registrar’s office and the entire school. Practical cases are used to concretize the discussions on these laws.


EDUC 255 FUNDAMENTALS OF REGISTRARSHIP (3 units) 

This is a course on the management functions and mandates of the registrar. Topics include the responsibilities and operational concerns connected to the position, organizational setup of the registrar’s office, flow of operations, and current administrative issues dealt with by registrars.


EDUC 255.1 RECORDS AND DATABASE MANAGEMENT (3 units) 

This course introduces the fundamentals of managing academic records and student data in educational institutions. Students learn to identify various record types, apply best practices for organizing and securing information, and ensure compliance with data protection laws, such as the Philippine Data Privacy Act. Practical training involves utilizing database management systems (DBMS) and student information systems (SIS) to maintain accurate and secure student data. Emphasis is placed on ethical responsibilities, system evaluation, and improving institutional data management. The course prepares students for effective roles in registrarship and academic administration.


EDUC 255.2 SYSTEMS ANALYSIS AND DESIGN WITH BUSINESS PROCESS REENGINEERING (3 units) 

This is a course on the analysis and design of workflow and processes within and between organizations to attain effectiveness, efficiency, and customer satisfaction.


EDUC 255.3 CUSTOMER/FRONTLINE SERVICE AND INTERPERSONAL SKILLS (3 units) 

This is a course on the skills, behaviors, and methods in gaining customer
satisfaction. Participants assess their organization’s service capabilities and learn to exploit opportunities to manage customer expectations and strengthen customer loyalty and goodwill for the organization.


EDUC 256 EFFECTIVE COMMUNICATION (3 units)

This is a course on the concept of communication and its interpersonal and organizational functions. Topics include the communication process, the flow of communication through networks, the effect of information technology on managerial communication, and contemporary communication issues (proper management of knowledge and customer interface).
