Preparing for Onsite Commencement Exercises for Class 2022 (OVPLS Memo)

Subject:           Preparing for Onsite Commencement Exercises for Class 2022


On 27 April 2022, I announced that the Baccalaureate Mass and Commencement Exercises for Batch 2022 would be held onsite at the Ateneo Junior High School Covered Courts on Saturday, 27 August 2022 (Baccalaureate Mass, LS-wide Commencement Rites, GBSEALD/SOH/SOSE Graduation) and 29 August 2022 (SOSS and JGSOM Graduation). We are releasing the following reminders and guidelines in preparation for these commencement exercises.

  • Members of the graduating batch of 2022 are those who completed their degrees
    1. at the end of Intersession 2021
    2. at the end of the 1st Semester SY 2021-2022
    3. at the end of the 2nd Semester SY 2021-2022
       
  • Eligibility Requirements for Graduation:
    1. Graduate Students (from p. 62 of Graduate Student Handbook 2019)
      In order to be officially considered as graduates of the Ateneo de Manila University- Loyola Schools and obtain official academic records from the Office of the Registrar, students must have:
      • completed all the academic requirements in their curriculum program of study. In general, these include: completing all the coursework units, passing the comprehensive examinations or their equivalent, defending the thesis/dissertation successfully, submitting the final revised copies of the thesis/dissertation/capstone project, and complying with their program’s dissemination and publication requirement.
      • submitted the admission credentials required by the Office of the Registrar
      • settled all financial and other obligations to the Loyola Schools, and;
      • obtained clearance from offices in the Loyola Schools (note: The Registrar’s Office will issue a separate memo on the Clearance Process for Graduating Students)
         
    2. Undergraduate Students (from p.26 of Undergraduate Student Handbook 2021)
      To be eligible for graduation, students must:
      • have completed all the course requirements for their degree program;
      • meet the minimum yearly QPI for Senior/Fifth Year;
      • not be serving a penalty of suspension or expulsion;
      • be free from all financial and/or property accountabilities; and,
      • secure clearance from the concerned offices within the Loyola Schools (note: The Registrar’s Office will issue a separate memo on the Clearance Process for Graduating Students)
         
  • Release of Diplomas and Transcripts
    1. The Office of the Registrar will be releasing the following documents immediately after the graduation ceremonies. Releasing counters will be stationed in designated classrooms of the Ateneo Junior High School.
      • Hard copy of diploma
      • English translation of diploma
    2. The Registrar’s Office will release Transcripts of Records electronically beginning 15 June 2022.
       
  • Rental/Purchase of Togas
    1. Official Supplier of LS Togas
      Digilearn Multimedia Corp. (formerly known as GSA Academic Regalia Shop or Cattleya), is the Loyola Schools’ supplier of academic caps and gowns (togas) for graduation.
       
    2. Google Form for toga rental/purchase
      Graduating Students must place their orders by filling out this Google Form on or before Saturday, 11 June 2022: http://go.ateneo.edu/LSBatch2022TogaForm
       
    3. Rental Rates
      AB/BFA/BS graduates:           P600 per gown (cord and medallion included)
      MA/MS/Master graduates:    P800
      PhD/Doctor graduates:          P1000-1200
       
    4. Option to Purchase Togas
      Graduating students who would like to purchase their own toga sets from Digilearn Multimedia Corp. may do so at the following rates: 
      AB/BFA/BS                 P3,000
      MA/MS/Master          P8,000
      PhD/Doctor                P10,000 (ordinary tassel); P11,000 (gold bullion tassel)
       
    5. Payment Options
      Online or over-the-counter deposits may be made through BDO or BPI. GCash payments (using Digilearn’s QR code) are also accepted. Students will be asked to upload their proof of transfer or deposit as they accomplish the Google Form for toga orders.

    6. Pick-up/Delivery Options

      1. Pick-up on campus (details to be announced at a later date)

      2. Pick-up at Digital Multimedia Corp. office (please coordinate directly with Digilearn; refer to contact details and map at the end of this memo)

      3. Delivery/shipment within the Philippines (please coordinate directly with Digilearn; delivery/shipment fees will be for the account of the student; delivery will take approximately 3-5 days for Metro Manila addresses and 1-2 weeks for addresses outside Metro Manila)

      4. Shipment outside the Philippines (ONLY for purchased togas; please coordinate directly with Digilearn; delivery/shipment fees will be for the account of the student; delivery will take approximately 1-2 weeks)

    7. How to Get Your Own Toga Measurements (illustrations are in the Google Form)
      Use a tape measure. Unit of measurement must be in CENTIMETERS.

      For AB/BFA/BS togas, the following measurements are needed (please refer to the Google Form for more instructions on how to take your measurements):
      Shoulder to shoulder
      Neck to midcalf
      Height

      For MA/MS/Master and PhD/Doctor togas, the following measurements are needed (please refer to the Google Form for more instructions on how to take your measurements:
      Head Circumference
      Shoulder to shoulder
      Shoulder to wrist
      Neck to midcalf
      Height

    8. Return of togas and penalty fees
      To avoid penalty fees, students must return their togas immediately after graduation in their designated rooms for diploma distribution.

      Digilearn will charge the following late return fees for graduates who will fail to return their togas immediately after graduation.  

      The following late return fees will apply for togas returned from 30-31 August 2022:
      AB/BFA/BS graduates                                                P 200 per day of late return
      MA/MS/Master/PhD/Doctor graduates                    P 500 per day of late return

      Return of togas and payment of penalty fees must be made directly to the office of Digilearn and not to any office on campus.

      IMPORTANT NOTE: Upon return of the toga and payment of the penalty fee, Digilearn will issue an official receipt. This official receipt is to be presented at the Registrar’s Office when claiming the diploma. NO OFFICIAL RECEIPT, NO RELEASE OF DIPLOMA.

    9. Lost togas
      Togas not returned by Wednesday, 31 August 2022 will be considered lost. Digilearn will charge the graduate a lost toga fee of:
      AB/BFA/BS graduates                        P 3,000
      MA/MS/Master graduates                 P 7,000
      PhD/Doctor graduates                       P 9,000

      Payment of the lost toga fee must be made directly to the office of Digilearn and not of Digilearn and not to any office on campus.

      IMPORTANT NOTE: Upon payment of the lost toga penalty fee, Digilearn will issue an official receipt. This official receipt is to be presented at the Registrar’s Office when claiming the diploma. NO OFFICIAL RECEIPT, NO RELEASE OF DIPLOMA.

    10. Toga rental for AEGIS DIY Photoshoots
      For students who will be participating in the Aegis yearbook photo shoots, togas will already be provided by the accredited photography studio.

      Students who will not be able to have their photos taken with the official Aegis photographer due to distance or safety considerations have the option to rent the official toga and submit a DIY photo to be used for the yearbook. Please check Aegis announcements and guidelines about DIY yearbook photo shoots.

      The toga rental rates for AEGIS photoshoots are as follows:
      AB/BFA/BS graduates:          P600 per gown + delivery/shipping fees (cord and medallion included)
      MA/MS/Master graduates:    P800 + delivery/shipping fees
      PhD/Doctor graduates:          P1000-1200 + delivery/shipping fees

      Toga rental for Aegis DIY photoshoots must be arranged directly with Digilearn. The Google Form link provided in this memo is only for togas which will be used for the Commencement Exercises in August. Please see Digilearn’s contact details below.

      Delivery of togas to be used for DIY photoshoots will take approximately 3-5 days within Metro Manila and 1-2 weeks days for provincial deliveries. Please note that only made-to-order togas can be shipped to addresses outside the Philippines. Digilearn’s production time for made-to-order togas is 21 days. Shipment to a delivery address abroad takes approximately 1-2 weeks.Please refer to the toga purchase rates above (item no. 3 Option to Purchase Togas)

  • Graduation Dress Code
    Required Attire under the Toga for all Graduating Students

    • Women:

      • Formal dress/blouse with skirt, not longer than the toga, or dark-colored formal pants with blouse.

      • Footwear-dark-colored leather shoes, preferably closed-toe with heels of not more than 3 inches.

      • NOT ALLOWED: jeans, casual pants, shorts, gowns; light or brightly colored shoes, rubber shoes, sneakers, boots, high heeled shoes/stilletos of 4 inches or more, step-ins, flat mules, flat sandals, slippers

    • Men:

      • Long-sleeved collared shirt with necktie, or beige long-sleeved formal barong: dark-colored (black, dark brown, dark blue) formal pants.

      • Footwear-dark-colored leather shoes and socks, preferably black

      • NOT ALLOWED: jeans, casual pants, shorts, short sleeved tops; light or brightly colored shoes, rubber shoes, sneakers, loafers, sandals, slippers or any type of open shoes

Please note that onsite graduation ceremonies are being planned under the assumption that the COVID Alert Level remains at Level I or improves in the coming months. We will be issuing updates in case alert levels worsen. Let us continue to pray for each other’s safety and good health. Thank you.
