Graduating Seniors’ Deadline for Completion of INC/NE Grades and Submission of Appeals to the Standards Committee (LS ADAA memo)

Graduating Seniors’ Deadline for Completion of INC/NE Grades and Submission of Appeals to the Standards Committee
With the release on AISIS of Second Semester SY 2022-2023 final grades last Saturday, 6 May 2023, graduating students are reminded of the following Loyola Schools regulations on academic requirements for graduation.
A. Completion of INC/NE Grades

In order to graduate, all courses/subjects required for one’s degree program (including PE and NSTP) should have a status of P (Passed) or E (Exempted). If even one course has a C (Currently Taking) or N (Not Taken) status, a student will not be cleared for graduation.

Courses with the temporary grade of INC and NE have the status of C. This status will be changed to P if a passing completion grade is posted or N if the completed grade is F or W.

The period for completion of INC/NE grades is two weeks after the electronic release of grades, i.e., from Saturday, 06 May to Saturday, 20 May 2023. Deadline for posting by Department Chairs/Program Directors of completion grades is at 11:59 pm on 20 May 2023.

Instructors should submit their completion grade through the AISIS Submit Completion Grade module. Please refer to the Registrar’s 18 November 2022 memo, New AISIS Submit Completion Grade and Post Completion Grade Modules. Approval/Endorsement by the ADAA is no longer needed.

Upon submission on AISIS, instructors should notify their department chair/program director who then posts the completion grade. Instructors are asked to provide a reasonable amount of time for their department chair/program director to review and post the grades.

Graduating students with approved requests for an extension to the completion of INC/NE grades beyond 20 May 2023 should be aware that there is no guarantee that they will be included in the final list of graduates and they risk not being allowed to join the graduation ceremonies.

B. QPI Requirement for Graduation

Students are expected to turn in a satisfactory performance each school year. This is translated into the minimum QPI that a student must meet at the end of each year level.

Because we expect satisfactory performance each school year, graduating students must obtain a Senior/5th Year YEARLY QPI (not cumulative QPI) of at least 2.00. Students who pass all courses but do not meet the minimum Senior Yearly QPI of 2.00 will not be eligible for a diploma and will not be allowed to participate in the graduation ceremonies. Moreover, no degree or date of graduation shall be indicated in their transcript of records.

For irregular Seniors/5th Year students (i.e., students who had to take an additional term/s to complete their degree), the manner of computation of the Yearly QPI is explained in Section V.10.3.2 of the LS Undergraduate Academic Regulations.

C. Appeals to the Standards Committee

Seniors may submit the following types of appeals to the Standards Committee:

Appeal for Change of Grade - Academic Regulation V.6.1: “Students may submit an appeal for a change of grade if they have a valid reason to believe that there was a miscalculation or typographical/encoding error by the instructor.” Please follow the procedures on Appeals for Change of Grade as found in the Student Appeals section of the webpage of the Office of the ADAA (www.ateneo.edu/ls/adaa).

Appeals to Graduate - Seniors who have completed all courses required for their degree programs but did not meet the minimum Yearly QPI of 2.00 may submit an appeal to graduate to the Standards Committee. Appeals should be submitted through the Office of the ADAA (appeals.standards.adaa.ls@ateneo.edu).

Deadline for submission of appeals is on Monday, 15 May 2023. Appeals submitted after this date may still be deliberated on by the Standards Committee but there is no guarantee that decisions on those appeals will be made in time for the finalization of the list of graduates for the Class of 2023.
