TERMS OF REFERENCE
Position: Training and Logistics Assistant
Duration: October 1, 2022 to December 31, 2022
I. Brief Description
The Ateneo School Government (ASOG) is the public-sector arm of the Ateneo de Manila University. The School’s long-term mission is to teach and work with effective and ethical public servants. It aims to contribute in building prosperous, sustainable, just, and happy communities in the Philippines, empowered by democratic, participatory, transparent, and accountable governance institutions and processes.
As a graduate school for leadership and public service, ASOG's academic and executive education programs bridge the gap between classroom wisdom and real-world policy decision-making and governance. Through its research and extension programs, and its work with public, private, and community organizations, ASOG continues to develop and foster innovative ideas and approaches in areas such as leadership, poverty eradication, climate change, social accountability, and politics.
II. Tasks and Functions
The Training and Logistics Assistant is expected to provide overall administrative and logistics support to the Executive Education Program, specifically training programs on:

DFA Training on Rethinking Leadership in a VUCA World: Forming Leaders in Diplomacy;

Philippine Air Force Leadership Excellence and Development Program.
In particular, the Training and Logistics Assistant is expected to:

Provide assistance in ensuring that all administrative and logistical support relating to the project are in accordance with the set rules, regulations, policies, and processes of ASOG, ADMU, and the project’s funder;

Prepare and process necessary administrative documents and requests for the project, including but not limited to payment, travel, logistical support, and procurement, in a timely manner;

Assist in monitoring, coordinating, and ensuring that all project transactions and documents are complete, duly processed, and recorded;

Maintain a system for proper filing and archiving of all administrative documents, records, and reports, including necessary supporting documents, related to the project;

Assist in the preparation and ensure the timely submission and completeness of administrative and financial reports required by ASOG, ADMU, and the project funder;

Attend all meetings, events, and functions as deemed necessary by the Project Management Team; and
-
Perform any other tasks relevant to the project as directed by the Project Management Team.
III. Qualifications

Knowledge of office management systems and procedures;

Work experience in the academic setting is an advantage;

Excellent oral and written communications skills;

Excellent in interpersonal and organizational skills, with keen attention to detail and the ability to work in a team

Proficiency in Microsoft Office (MS Excel and MS PowerPoint in particular) as well as other web and computer applications
