Call for Applications: Academic Project Assistant

Unit: Academic Program – School of Government
Duration: The successful candidate will initially be contracted for three months and is subject to annual renewal.

I. Brief Description

The Ateneo School of Government (ASOG) is the public sector arm of the Ateneo de Manila University. The School’s long-term mission is to teach and work with effective and ethical public servants. It aims to contribute to building prosperous, sustainable, just, and happy communities in the Philippines, empowered by democratic, participatory, transparent, and accountable governance institutions and processes.

As a graduate school for leadership and public service, ASOG's academic and executive education programs bridge the gap between classroom wisdom and real-world policy decision-making and governance. Through its research and extension programs, and its work with public, private, and community organizations, ASOG continues to develop and foster innovative ideas and approaches in areas such as leadership, poverty eradication, climate change, social accountability, and politics.

II. Scope of Work

The Academic Project Assistant is expected to perform the following tasks:

Pre-Term Responsibilities
a. Assists in course scheduling by way of coordinating with other Academic Program Officers, namely:

  • Plots out the schedule of MPM classes for respective cohorts and assists Academic Head in faculty recruitment/assignments;

  • Issues NOTICE OF COURSE OFFERING at least 4 weeks before the start of each term, including guidelines for registration.

b. Coordinates with assigned faculty for contract processing, course designs, schedules, and materials, and other contract deliverables.
c. Reminds faculty and students of schedules before the start of term.
d. Coordinates with Records Officer regarding documentary requirements/requests of students.
e. Prepares a batch profile for each MPM class, to be given to the assigned teaching team.
f. Facilitate faculty and teaching staff remuneration when appropriate, including initiation of Order for Check requests.

In-term Responsibilities
a. In coordination with the Records Officer / Asst. to the Registrar and CAO, verifies the list of enrollees in each MPM class and submits to the Academic Program Head and Guest Lecturers concerned.
b. Attend to faculty needs and concerns as necessary including

  • Collection of reports, papers, and course requirements.

  • Scheduling of meetings of students with the Dean, Academic Head, other faculty, etc.

c. In cases where faculty needs and concerns are beyond his/ her area of responsibility, informs the Academic Head of such for action

Post-Term Responsibilities
a. Follows up the grade submissions from faculty, constantly informing him/ her of deadlines.
b. Submits SIGNED AND FINAL grading sheets to the Records Officer / Asst. to the Registrar for proper filing and recording.
c. Files and keeps all course designs and materials for future reference.
d. Tracks the progress of current student cohorts, in liaison with the Records Officer / Asst. to the Registrar.
e. Liaises with the Records Officer / Asst. to the Registrar for other documents and information required of the student for graduation, such as list of graduating students, transcripts of records, and titles of Governance Innovation Reports.
f. Manage and maintain the Canvas course pages of various classes, and ensure the continuous updating of the ASOG website.
g. Invite students to ASoG / AdMU events (fellowship, gatherings, etc).

Other Responsibilities

  • Attend relevant ASoG staff meetings, including project and research meetings as required for synergy and complementarity.

  • Conduct performance evaluation of staff and managers, as appropriate, and attend exit interview, as necessary.

  • Perform other related tasks as may be assigned by the Dean / Academic Program Head.

III. Qualifications

  • Bachelor’s degree, with above average academic performance; Masteral units an advantage.

  • Prior work experience in program management.

  • Strong analytical skills and appreciation of development.

  • Self-management, as evidenced by the ability to deliver outputs with minimum supervision.

  • Excellent English communication skills, oral and written.

  • Excellent organizational skills and ability to work in a team.
